Consistent, always-up-to-date email signatures managed from a single place for your whole team.

ECARD email signatures let you equip your entire organization with a consistent, up-to-date signature managed from a single place. No more mismatched signatures copied from colleague to colleague: you design one template and it fills itself in with each person's details.

How it works

  • You design a signature template once.
  • It fills in automatically with each employee's details through variables (name, job title, phone numbers, logo…).
  • Everyone installs their signature in their mail client (Outlook, Gmail, Apple Mail) or via the Outlook add-in, which inserts it automatically.

Tip: an ECARD signature is an HTML fragment designed to survive copy-paste. It is not a newsletter — it stays clean and compatible with Outlook, Gmail and Apple Mail.

What you can do

  • Create several variants of the same template (by context, team or entity).
  • Show a campaign banner in the signature (see Campaigns).
  • Send a test email to check the real rendering before deploying.
  • Assign a signature to users, groups or teams.
  • Archive / restore templates to keep a tidy library.

In practice: from template to inbox

  1. You create a template in Email signatures and compose it in the editor.
  2. You assign that template to the relevant people.
  3. Each employee installs their signature (copy-paste or add-in).
  4. On every send, the variables are replaced with the real profile details.

Example

A 50-person organization creates one "External signature" template. Each person's name, job title and phone are inserted through variables. When someone changes roles, you only update their profile: the signature reflects the change on the next installation (or automatically with the Outlook add-in).

Good to know

  • The editor preview uses modern CSS and is not representative of the final rendering: always send a test email.
  • The values shown come from each user's profile — keep them up to date.
  • Feature availability depends on your plan.
