Create a signature

Design an email signature template with the wizard, preview it and assign it.

Signatures are managed under Email signatures. The wizard walks you from picking a starting template through to assigning it to the right people.

Creation wizard

  1. Open Email signatures and click Create a signature.
  2. Pick a starting template (a ready-to-customize layout).
  3. Compose the signature in the editor: logo, details, layout, colors, links and variables.
  4. Preview the result directly in the editor.
  5. Send a test to check the real rendering in your inbox.
  6. Assign the signature to the relevant users, groups or teams.
  7. Save: each person can then install their signature.

Composing the signature

In the editor you assemble blocks (text, logo, photo, social links, dividers…). For any field that should differ from one person to another, insert a variable rather than a hard-coded value — for example {{user.firstName}} instead of typing the first name by hand.

A few formatting guidelines:

  • Keep it clean: a signature is not an ad banner.
  • Use email-safe fonts (offered in the editor).
  • Keep a reasonable width so it doesn't overflow the compose window.

Variants

You can create several variants of the same signature — for example an internal and an external version, or one per entity. Each variant stays tied to the same template, which keeps maintenance simple.

Send a test

Before deploying, use Send a test to receive the signature by email and check its rendering in your inbox. Ideally test across several clients (Outlook Windows, Outlook web, Gmail, Apple Mail), since the rendering can vary.

Add a campaign banner

You can show a campaign banner in the signature: it updates automatically based on the schedule defined in Campaigns. Perfect for promoting an event or offer without editing everyone's signature.

Troubleshooting

  • A variable stays visible in plain text (e.g. {{user.jobTitle}}) → the field is empty in the profile. See Variables and Signature troubleshooting.
  • The rendering differs from the preview → the editor preview is not faithful to the final rendering; rely on the test email.
  • You can't see the Email signatures section → this feature depends on your plan.

Email signatures are HTML fragments designed to survive copy-paste into Outlook, Gmail or Apple Mail. The final rendering may differ slightly from the preview depending on the mail client — always test before deploying.
